One project carries the shoot from the plan to the posts.
Start from a plan
Import the production plan (route 01), or choose New project → Photo or video shoot for a shoot’s usual steps.
You’ll seeThe Shoot tab filled from the plan: days, shots and crew.
Check the shots and days
On Shoot, each day has its own tab in the Shot list. Tap a shot for its reference, look, talent and location; ··· moves, cuts or removes it.
Shot list and call sheet · 0:44 Workflow reference What it shows: the shots in order with their details and a reference image, a call sheet with the day, times, location and a usual day’s schedule, adding crew roles with a tap, where talent marked Yes on Casting will appear, and the Print or save as PDF and Copy as text buttons.
Fill in the call sheets and locations
Call sheets has one per day: call and wrap times, the schedule, crew and the nearest hospital. Add each place under Where; an address edited once updates every day.
You’ll seePrint or save as PDF and Copy as text, ready to send.
Use On set on the day
On a shoot day the project leads with On set: now and next, the shot to get, Done · next shot and Shoot later.
You’ll seeWhether you’re on track, and each done shot in Activity.
On set: follow the plan on the day · 0:26 Workflow reference What it shows: On set following the clock: the shot to get now, Done · next shot, Shoot later, the on-track badge, and where the call-or-text panel and Map sit.
Add the finished edit to Content
Open the shot and choose Add the edit. The files become a draft post, linked to the shot.
You’ll seeThe post’s status on the shot’s row.

Review and schedule
Carry on with route 03 from step 02.
ReferenceFind an answer
One answer per feature. Search, or open a group.
Signing in
No password and no card. Enter your work email and Pronta sends a sign-in link and a code (from sign-in@pronta.app): tap the link on any device, or type the code. Or choose Continue with Google. If it isn’t in your inbox within a minute, check Junk or Spam and mark it Not junk, or choose Send it again.
The three questions and the Start here list
Pick Social media & content if you run feeds, name your team or brand, and name your first project. A small preview shows where each answer goes. For a brand, My next steps then shows a Start here list (connect Instagram, brand voice, pillars, your team, a first post) that ticks itself off. None of it is needed before a first plan. Suggest pillars gives three sets of content pillars in the brand voice to choose from or edit.
Connect Instagram (invited testers)
While Meta reviews Pronta, Instagram only lets in accounts we’ve invited. It must be a Business or Creator account. Once per account:
- Send us the handle with Send feedback in Pronta or at hello@pronta.app. We’ll tell you when the invite is sent.
- Accept the invite in a web browser (the Instagram app doesn’t show tester invites):
- Sign in at instagram.com, on the brand’s account (More → Switch accounts if not).
- Open instagram.com/accounts/manage_access (or More → Settings → Website permissions → Apps and websites).
- On Tester Invites, choose Accept next to Pronta-IG. It then says Authorized by you.
- More than one brand? Switch account and repeat.
- Connect. On the workspace page, under Connected accounts, choose Connect, check the username on Instagram’s screen, then Allow.
Beta: local tests don’t prove a real account connects or posts. If a connection needs reconnecting, Pronta warns you and emails you.
Install the app on a phone or computer
Choose Install the app in Pronta’s menu: your browser’s own prompt where it has one, otherwise Pronta shows how. On iPhone, Share → Add to Home Screen. It opens full screen with its own icon.
What it shows: My next steps on a phone, a step with its date, files and conversation, adding an update, and On set on shoot day.
Search
Search in the sidebar finds steps, projects, files and messages, across everything or within one brand.
Assets
Assets in the sidebar holds every brand’s files in one library: switch brand, filter by type, or Search all assets. A plan’s original document is filed in its project here.
Copy link for the team
The top bar of every page has Copy link for the team: a link to exactly that page for a teammate who has access.
“How this works” buttons and in-app Guides
Major screens have a How this works button that plays the short guide for that screen. Guides in the sidebar lists them all (after sign-in).
Your account and email notifications
A message, mention or client note still unread after ten minutes is emailed to you, at most once an hour per conversation. Change it in your account under Email notifications.
What Pronta can read
- PDF: text, scanned and mixed. Scanned pages, photos of pages and charts are read from their picture.
- Word (headings, lists, tables), PowerPoint (every slide, tables, chart values, speaker notes; hidden slides are listed, not read) and Excel (every sheet, formulas and saved results).
- CSV, plain text, Markdown, pictures of a page, and transcripts (.vtt, .srt).
- Keynote, Pages, Numbers and older Office files can’t be read directly. Export them first (to PowerPoint, Word, Excel or PDF); Pronta says how when you choose one.
What’s sent, and what’s kept
- When you choose a file: Pronta reads it in your browser. With AI planning, it then sends Claude the file name, the outline and a text sample (up to 6,000 characters) to tell what kind of document it is. For a scan with little text, up to 2 page pictures go too. This happens before you press Plan.
- When you choose Plan it with Pronta: the document content the plan needs (text, and pictures of pages that need reading, such as scans and charts) is sent with your answers, notes and budget.
- What’s kept before you confirm: your draft answers, notes and budget are kept in this browser, and completed planning steps are kept in this browser and with your planning jobs on Pronta’s server, so work can be recovered. Those results can include quotes and text read from scanned pages. After a reload, choose the same file again to reuse the completed steps.
- When you confirm: only then is project work created or added. Creating a new project also adds the original file to its Files.
No deletion period is promised here yet. Clearing this browser’s site data removes what’s kept on this device, not the results kept on the server.
Unreadable pages and failed imports
Read says how much was read and names pages that couldn’t be, under Which. Anything left out is listed, not skipped silently. A format on the list can still fail to read: export it again as PDF, or choose List the document’s lines instead.
If planning fails or stops, your answers and the completed planning steps are kept: plan it again to carry on (after a reload, choose the same file first). “Pronta was just updated” means reload the page and try again.
Before you create it
- Read: how much of the document was read.
- Plan: the steps and workstreams.
- Sources: whether every quote was found. Steps whose quote wasn’t are marked Check source. A found quote shows where a step came from; it isn’t proof the action, owner or date is right.
- Owners: names the document doesn’t give become roles to confirm.
- Money: whether totals add up, and figures read from pictures to check against the page.
- Conflicts: where the document disagrees with itself. Questions it raises go under Decide first.
- Not placed: things from the document not on the path yet, listed unticked under What changed.
The plan below is grouped and numbered: 00 Decide first, then 01, 02 and on. The document shows each page and whether the plan uses it; Not in the plan filters the rest.
Owners, roles and the team
Each row has an owner picker. Needs an owner stays visible until someone takes it; Add someone… adds a person. The team matches each name in the document to a teammate once, and only pre-fills a match it’s sure of; a role in the document (a photographer, say) is not the same as an assigned teammate. The summary counts what’s assigned and what’s still to assign.
Money in a plan
- Cap (Can spend): set only when the document calls a figure a budget or limit. Otherwise review says no cap was set; type one under Budget cap.
- Costs: the budget lines. est. marks an estimate: check it against a real quote.
- Funding: money coming in, shown as “Funding (not spend)”, never counted as cost.
- Gaps: totals that don’t add up, and To confirm lines, stay flagged until someone settles them.
Nothing in Pronta is ever charged.
Suggestions and Decide first
Steps marked Suggested aren’t in the document, so they start unticked; Deselect all suggestions clears any you ticked. Questions under Decide first have a Save tick: the header counts how many will be saved as decisions.
A new project or one you have
By default it becomes a new project. Under Where it goes, pick a project you can edit: its steps join that plan, and the budget, kickoff and summary fill in only where the project has none yet. Plans for a shoot add their days and shots after the ones there.
No document
On Import a plan: Describe your project (Pronta drafts a plan from a few answers), Try a sample brief, or Start from a template instead. New project also offers starting points such as client work, events and hiring.
What it shows: a PDF plan, a few questions and the budget, Pronta’s proposal for that budget with each cut and what it saves, matching people to your team, then creating the project.
The project home
Every project opens on one page: its title and Kickoff date, then the stages with sign-offs as diamonds between them (long plans show You are here · stage N of M on a slim strip). Below: Do this now (one step, why it’s first, and Not now), Needs an answer (plain questions you answer right there) and Coming up. See all steps opens the full plan, with the colour key. Meetings, Conversations and Activity are under More.
What it shows: the next-step card, the stage colours and their key, changing an owner, date or status on the row, ticking a step off, and recording a decision.
My next steps
Leads with one step to do now, then Also needs you (four at most), then a card per project. See all your steps opens the full list; Blocked by earlier steps and What changed are folded at the bottom. Watch the clip in route 01.
A step’s panel
Open any step and its panel says where it sits (“Pre-production · step 6 of 8”), with a chain: what comes first, the step, and what it frees up. After a link takes you elsewhere, Back to … under the top bar names where you came from.
The kickoff
On a new project, Do this now is the kickoff, its agenda made from the plan: open decisions, owners, dates and budget. Choose Plan the kickoff, add who’s there and take notes under each point. A note under a decision fills it; “Sam to book it by Friday” gives that step an owner and date (or adds it). Turn into plan shows everything to tick before it changes, then a recap to copy and send. Later meetings: More → Meetings.
What it shows: the agenda made from the plan, who’s there, notes under each point, a “who does what by when” note becoming a step, then Turn into plan and the recap.
From meeting notes
On the full plan, From meeting notes: paste notes or a transcript (or open a .txt, .vtt or .srt). Pronta suggests new steps, decisions made, steps done and open questions, each with the line it came from. Anything that looks like an existing step starts unticked. Nothing changes until you add them, and Undo takes it all back.
Done, decisions and sign-offs
- Start and Mark done move ordinary work along.
- A decision records a choice; the work waiting on it opens up.
- A sign-off needs its files first. Approving pins the exact versions, so if a file changes later the sign-off pauses until someone approves the new version.
Bringing photos and videos in
Drag files onto the content page, or use New post. iPhone HEIC photos are converted, and big videos upload in pieces so a slow connection doesn’t stop them; keep the post open until a big video finishes. Full-size files are shared with your team once uploaded. With several files, Import opens to pick and arrange; Let Claude plan it instead proposes the arrangement for you to check.
Creator folders
For seeding, UGC and shoots: one folder with a subfolder per creator, named like Creator @handle WHITE. New post → From a folder reads each creator’s handle, kind (Chinese labels like 时尚博主 work too) and colourway; a name with no @ is flagged. Pick this folder takes a creator’s whole set. Each creator becomes one post (the first photo is the cover), and every caption credits them (“Photo: @handle”).
The post window
Set the format (post, carousel, Reel, Story), size and crop; drag inside the frame to choose what stays in view. Tailor the caption per platform and tag a pillar. Under Music, type the song or paste a Spotify or Apple Music link. Preview shows it as it will appear. Every change has Undo.
What it shows: the redesigned post window, with the photo and format on the left, the time under Publishing first, then the caption, Approve putting it on the schedule, and the team, client and history tabs on the right.
Post stages: scheduled is not posted
Each post moves Draft → Team review → Approved → Scheduled → Posted. Working alone, choose Approve. Approving a post that already has a time, with nothing blocking it, puts it on the schedule, and with Instagram’s Auto post on queues it (if that time has passed, Pronta asks first). A time set under Publishing or dragged on the grid is saved at once without changing the stage: an approved post given a time that way still needs Schedule. Only Auto-schedule has a Confirm step. Approving a post doesn’t finish other work around it. Scheduling sets when it should go out; Posted means it actually went out.
Auto-schedule
In Content, More → Auto-schedule. Set Posting days, Times, Timezone and Minimum gap (hours). Pronta proposes the next open slot for each post: approved posts are Will schedule; posts waiting on approval or a sign-off are Held (they keep a slot but aren’t scheduled). Times set by hand are kept, and scheduled or posted posts never move. Nothing changes until you confirm.
Posting to Instagram
With the brand’s Instagram connected and Auto post on, Pronta posts at the scheduled time: single posts, carousels of up to 10, Reels and Stories (one photo or video each). The post window lists anything missing. Scheduled, but not queued offers Queue it now. Trial reel shows a Reel to non-followers first, where Instagram allows it for the account. Other platforms: post as usual, then Mark as posted.
Beta: invited testers only while Meta reviews Pronta (connect). Music isn’t attached for you: Pronta keeps the song with the post and reminds whoever posts to add it in Instagram.
Posting grid and Status
Content opens on the Posting grid: with Instagram connected it shows your real feed with planned posts on top; without it, a labelled preview. Drag planned posts to reorder and the dates follow; ··· on a tile deletes it. Status shows every post by stage. Watch the clip in route 02.
Suggested this week
Every Monday, 3–5 post ideas drafted from your own account’s results, in the brand voice. Pick a focus first if you like. Needs a connected Instagram account. An idea becomes a draft only when someone chooses Add as draft.
A shoot’s plan
A new Photo or video shoot starts with the steps a shoot really has: creative direction, location and recce, casting, crew, hair and make-up, the shot list, wardrobe and product, the call sheet, sign-off, the shoot day and returns. Steps like Write the shot list open the right tab. An imported production plan can propose how the shoot fits the budget (fewer days, shoots merged by place, possible cuts with what each saves) for you to accept or undo. Each shot keeps the deck page it came from as its reference.
Shot list
Every shot in shooting order, one row each, with a day tab per shoot day (on a phone, swipe to change day). Tap a row for the reference, look, talent, setup, day, location and notes. ··· moves a shot, cuts it (it stays, crossed out) or removes it.
Call sheets and locations
Call sheets → Add the first shoot day. Fill in call and wrap times and the nearest hospital; Start from a usual day fills the schedule; add crew with a tap per role. Talent marked Yes on Casting and that day’s shots fill in on their own. Under Where, add each place in order; each keeps its address, parking, access, permission and backup, with a Map link. Locations are kept once, so an edit updates every call sheet. All locations lists them with their days.
Comments on the shoot
Steps, shots, call sheet days, locations, budget lines and casting cards each have Comment. Type @ and a name to mention someone (they get an email that opens the right place). Editors change the plan, call sheets, locations and budget; anyone on the project can tick shots off and comment. Clients never see these comments.
On set
On a shoot day, the project and My next steps lead with On set: what’s happening now and next (with the time to it), the shot to get with its reference, and Done · next shot. Shoot later moves a shot to the end of the day; Cut it drops it. The badge says whether you’re on track or how many shots behind. Call someone calls or texts the crew; Map opens the location. Each done shot shows in Activity.
What it shows: On set following the clock: the shot to get now, Done · next shot, Shoot later, the on-track badge, and where the call-or-text panel and Map sit.
What it shows: the shots in order with their details and a reference image, a call sheet with the day, times, location and a usual day’s schedule, adding crew roles with a tap, where talent marked Yes on Casting will appear, and the Print or save as PDF and Copy as text buttons.
From the shoot to Content
Edit in your own tools. When an edit is ready, open the shot and choose Add the edit (a done shot with no post shows Add edit on its row). The files become a draft post named after the shot (several make a carousel). The shot shows its post’s stage; the post says From the shoot: shot 3 and opens the shot.
What it shows: a completed shot, Add the edit with the finished photos, the draft in Content linked to the shot, and From the shoot to go back.
Casting from Instagram screenshots
On a shoot’s Casting tab, drop in screenshots of people’s Instagram. Pronta reads the handle, name and follower count (only when the screenshot shows it) and keeps a picture; several screenshots of one person become one card. Mark Yes, Maybe or No, add notes and a rate, then Add to the plan: each Yes becomes a booking step and a talent line on Budget (or goes on a line the plan already has for that person). Share gives your client one link to vote and comment with no account; the final pick stays with the project’s editors.
What it shows: screenshots becoming one card per person, Yes / Maybe / No, a rate, sharing the sheet for your client’s votes, and adding the Yeses as booking steps with their rates in the budget. People in it are demo accounts.
The budget tab
The Budget tab shows Can spend (the cap, or “No cap”), every line, what’s left or how much you’re over, lines To confirm, and funding apart from spend. Every line is editable and has comments. See Money in a plan for what each figure means.
What it shows: what you can spend, what’s planned and what’s left, editable lines (a line with no amount says To confirm), and a comment on a line.
Invite people
Choose Invite people in the sidebar, or Invite a teammate from a post or step. Paste several emails, choose Teammate or Client, and for teammates What they can do (Contributor or Editor). Clients see only the projects you pick, and only the client side: never team comments, threads, channels, meeting notes, casting rates or the budget.
Messages and threads
Every step and post has a Team thread; a post’s Client thread is what your client sees on their link. Messages holds brand threads, project channels and direct messages; type @ to mention someone.
Beta: updates aren’t live yet. A teammate’s new messages and changes show when you come back to the tab or reload.
What it shows: a thread per brand, an @mention, photos dropped into the conversation, deleting your own, a reaction, and the unread-message email.
A brief form for your client
On the brand’s page, Client briefs → Send a brief form makes a link. Your client answers plain questions (what it’s for, goals, audience, dates, budget, must-haves, references) and can attach files, with no account. It comes back on My next steps; Make a plan drafts a plan (new, or added to a project you have) for you to review.
Client review and sign-off links
On the content board, More → Share with your client, then pick what they can do: Look (see and comment), Client review (approve each post or ask for changes) or Send us files. No account; a first name only when they act. Notes arrive in the post’s Client thread. The link stays the same; it works until you turn it off, or for 7 or 30 days. In Files, Ask your client for files makes the same kind of link (up to 50 files at a time, 5 GB each, into “From client”).
Share one step with a client
Open a step and use its Client tab to get a link for that step alone. Their reply comes back to the step, and the step’s history keeps the record.
The Calendar
Every brand’s posts and steps in one place. Switch between Day, Week, Month and Year; your choice is remembered on that device. Posts and steps with no date wait in Needs a date: drag one onto a day, or tap it and then a day. Add a step or post on a day adds one there.
What it shows: every brand’s posts and steps by status, Needs a date, placing a post on a day, and switching between day, week, month and year.
Put the dates in your own calendar
On the Calendar, the sync button opens Sync to your calendar for Google, Apple or Outlook. Choose My steps and posts or Everything I can see (which adds kickoffs and shoot days). The link is private: Get a new link replaces it; Turn off stops it.
Beta: it’s one-way, so changes made in your calendar don’t come back. Calendar apps check for changes on their own schedule (Google every 8 to 24 hours).
The brand voice
How Pronta writes captions for the brand. Set it on the workspace page under Brand voice, from whichever you have:
- Draft from website, Use a brand guidelines PDF, or Add past captions (paste 5–10 you like).
- Build from Instagram (connected accounts): reads the profile, recent posts and photos, and drafts the voice and a brand audit together. Open Steer it first to say who you are. Keep both with Save voice and audit, or Cancel.
- Or start from: four questions, or an example tone to edit.
- Ask your client: they answer a few voice questions with no account; Draft the voice from their answers fills the editor.
Check the draft and save it. Its “never” and “claims” lines are hard rules.
- Voice rule
- “Suavecito, precise, blunt. No hype.”
- Before
- “Our NEW boots are AMAZING!!”
- After
- “THE CHARRO BOOT. Square toe. 50mm heel.”
- Audience
- “People who check the welt before the price”: it steers which details lead.
Caption suggestions
In a post, What’s this post about? takes one line, such as “A preview of the second delivery, which drops Thursday”. Suggest captions looks at the photos or the video’s cover and writes up to three options, each a different reason to post, and fewer when the photos and the post’s facts only support fewer. New options asks again for different ideas, not rewordings, and can also come back with fewer. Use this, then edit freely.
The brand audit
Separate from the voice: an assessment of who the brand is for, how to talk to each audience, what to post more and less of (say, “Show more making and process”), and a profile check. Run a brand audit drafts one in about 30 seconds; each audience is marked stated, inferred or a guess, and Not right: remove drops one. Nothing is kept until someone chooses Save audit; Discard drops it. (The audit drafted with Build from Instagram is kept with Save voice and audit instead, and has no remove button.) Once saved, caption suggestions, pillar ideas and Suggested this week aim at those audiences; an idea becomes a draft only when someone chooses Add as draft. It is the team’s: clients never see it. You don’t need one before a first plan.
Competitors
On the workspace page, name up to 5 brands you compete with and their websites, then Compare (uses one suggestion, about 30 seconds). Pronta reads their websites and shows what each talks about and offers, what they do well, and what you can take away, plus where your brand stands apart. Their Instagram numbers aren’t available to Pronta, so a handle is for reference only. Check it before acting on it.
Import Instagram’s download
- In Instagram: Settings → Accounts Center → Your information and permissions → Download your information.
- Choose the brand’s account, then Some of your information → Posts (and Reels).
- Download to device, format JSON, quality Low, range Last year. Upload the .zip under Brand voice → Add past captions. Pronta reads it on your device and keeps the 10 most recent captions.
Insights
Each brand’s Insights page (top of the brand in the sidebar). Pick 7, 30 or 90 days: followers, reach, engagement rate and posts, each compared with the period before. The journey reads the same period as Seen, Engaged, Considered, Bought and Community, each with the post that did that job best where there is one. Instagram doesn’t share link taps or sales with Pronta, so Bought says so rather than guessing. Then top posts, what’s working and who follows (for accounts with 100+ followers). Each content project also has an Insights tab.
Beta: numbers come from a connected Instagram account every 6 hours (or Refresh from Instagram). Without one, the page starts empty: choose Connect Instagram, or See it with sample numbers to look around with labelled samples, which are not your results. Results you type in by hand for a post show either way.
What it shows: the period and its comparison, reach by week with new followers, top posts, what’s working, and who follows.
Client reports
On Insights, Client report. Optionally Write summary with AI (three plain sentences from the page’s own numbers, for you to check). Share report gives a link with no account needed; Active links lists each with Turn off. Your client sees the numbers, top posts and who follows, never plans, drafts or unposted work.

When something doesn’t work
- No sign-in email: check Junk or Spam, then Send it again, or use Google.
- “Insufficient developer role” on Instagram: the invite isn’t accepted yet, or Instagram signed you in as another account. Connect Instagram.
- Tester Invites is empty: the invite hasn’t reached that account. Tell us and we’ll resend it.
- A file won’t read or planning fails: see Unreadable pages and failed imports.
- A teammate’s change isn’t showing: come back to the tab or reload.
- A big video stalls: keep the post open until it finishes uploading.
- Insights differ from Instagram: numbers refresh every 6 hours; tell us if they still differ.
- Something broke: Pronta sends us the details on its own. Add what you were doing with Send feedback.
About the videos
Clips come with a caption track (WebVTT), shown in the player; turn it off from the player’s controls. Clips marked Workflow reference show how a task flows; they haven’t yet been checked frame by frame against today’s screens, so follow the written steps. The clips use the SECOND/LAYER AW26 boots launch, like the homepage.
PotentialWhere it’s going

Bring the photos in
In Content choose New post → From a folder (or From photos or videos). Everything opens in one window, each folder already a post. Click to select (Shift or ⌘ for more), press space to compare or see one large, remove what you won’t use, and choose carousel, single posts, Stories or Reels. Create opens the schedule: set the times, then Schedule or Save as drafts.
You’ll seeThe new posts on the Posting grid with their times. Nothing is created before Create.
What it shows: New post → From a folder, one window where each folder is a post, selecting and comparing photos, removing two, the photo size slider, choosing carousel, single posts or stories, then Create and the schedule: setting each post’s day (6 PM kept), then Schedule.

Schedule with Auto-schedule, then confirm
In Content choose More → Auto-schedule. It proposes slots: approved posts show Will schedule; posts still waiting on approval or a sign-off are Held. Times you set by hand stay. Nothing changes until you choose Confirm: the button says how many will be scheduled and how many held.
You’ll seeScheduled: when the post should go out, not proof it has.
Or by hand: an approved post given a time still needs Schedule; only Auto-schedule has Confirm. How dates work
What it shows: the grid as followers see it, newest top-left; dragging a post gives it that spot’s date, and Undo puts it back.
Post it, or hand it off
Instagram: with the account connected and Auto post on, Pronta posts at the scheduled time. Scheduled, but not queued? Choose Queue it now. Anywhere else: post it yourself, then Mark as posted.
Beta: Instagram posting is for invited testers while Meta reviews Pronta. Connect Instagram. Music is kept as a note: Instagram only adds songs in its own app.
